What this is

Stakeholder memos are AI-generated narrative documents tailored to specific audiences within the client organisation, for example, a C-suite memo focusing on strategic ROI, and a technical memo detailing integration requirements. Each memo draws on the analysis findings, framework scores, and ROI calculations, and is written in the appropriate register for its target audience.

Before you start

  • Analysis must be complete.
  • ROI calculations should be confirmed so that financial projections appear in the memos.
  • Identify the audiences you need memos for. The most common sets are: C-suite / executive sponsor, IT / technical lead, and operations / functional lead.

Procedure

  1. Open your project and click Stakeholder Memos in the lifecycle stepper.
  2. The Memo types panel shows a list of pre-built memo templates:
    • Executive summary memo, high-level findings, strategic recommendations, and ROI headline.
    • Technical assessment memo, infrastructure gaps, integration requirements, and technology recommendations.
    • Operations memo, process improvement opportunities and change management considerations.
  3. Toggle on the memo types you need.
  4. Optionally add Custom audience notes for each memo, specific context, tone guidance, or items to emphasise. These notes are included as instructions to the AI generator.
  5. Click Generate memos.
  6. Each memo generates sequentially. When complete, a preview panel shows the memo content.
  7. Review each memo. Use the inline Edit function to adjust any section. Edits are preserved through subsequent re-generations only if you lock the section.
  8. Click Finalise memos when satisfied.
If a memo section reads as too generic, add more specific context in the Custom audience notes and regenerate that memo type only. You do not need to regenerate all memos.

Limits and gating

  • Memo generation requires a completed analysis run.
  • Solo plan: Up to 2 memo types per project.
  • Team / Enterprise: All memo types available.
  • Memo generation consumes credits. The UI shows the cost before you click Generate.

Common issues

Memo contains factual errors about the client. The memo content is derived from what was entered in the client profile, discovery, and interviews. If something is wrong, correct the source data and regenerate the affected memo. Generated memos are too long or too short. Use the Custom audience notes field to specify length guidance (e.g. “keep to one page” or “include detailed evidence for each recommendation”). “Generate memos” button is disabled. At least one memo type must be toggled on, and analysis must be complete. Check both conditions. Edited content is lost after re-generation. Only sections marked as locked are preserved during re-generation. Lock any sections you have edited before triggering a new generation.
